terms of service
general conditions for service provision
I will confirm all bookings in writing and/or by calendly appointment.
you will provide me with all requested information regarding the assignment/meeting, the specific location, the number of participants, the nature of the assignment, and any other similar terms
i will refuse work or cease service provision at any time when:
there is a threat to my physical or psychological safety;
there is a conflict of interest;
i am not qualified for and/or am not a linguistic match for the participants;
participants requiring interpretation services have not arrived after 20 minutes of the meeting start time, unless notice or estimated time of arrival has been given
the Deaf consumer(s) and i will have sole discretion on whether or not the booking requires additional interpreters.
Assignments that are 1.5+ hours will require an additional ASL-english interpreter. the deaf participant reserves the right to request additional ASL-English interpreters and/or Deaf interpreters at any time.
assignments that involve theatre, musical interpretation, Deaf youth, and/or individuals who use a different sign language will require a deaf interpreter and/or deaf consultant. this would be discussed in a consultation meeting before booking confirmation.
i can make referrals and/or coordinate an interpreting team.
Preparatory materials
you will send me preparation materials (ie. participants’ names and pronouns, land acknowledgments, meeting agendas, speakers’ notes, meeting notes, PowerPoints, videos, audio clips, etc.) at least 3 days in advance. failure to send preparatory materials may result in an additional charge for additional prep time.
i will not share, post, or disseminate the preparatory materials under any circumstances.
i will only use these materials to prepare for my work, and will keep everything confidential in accordance with my professional association’s code of ethics and guidelines for professional conduct.
i will either return, delete, or destroy any preparation materials after the interpreting assignment is complete. if it is a recurring assignment, preparation materials may be kept until the final date of the assignment and will only be used to provide more accurate interpretation.
i am able to sign a non-disclosure or additional confidentiality agreement if requested.
cancellation policy
for one-day bookings, you must provide me with a minimum of 3 business days notice for cancellations.
for multi-day bookings, you must provide me with a minimum of 10 business days notice for cancellations.
cancellations made with less than the required notice will be invoiced at the full amount.
the cancellation fee may be waived or adjusted at my discretion in cases of emergency or unforeseen circumstances. you must communicate these situations to me as promptly as possible.
if i, as the interpreter, need to cancel a confirmed booking, I will provide you with as much notice as possible and will make every reasonable effort to find a suitable replacement or make referrals to my colleagues.
i will only cancel a confirmed booking for the reasons outlined in the above section (ie. threat to physical or psychological safety, conflict of interest, lack of appropriate qualifications), because of illness, or because of emergency/unforeseen circumstances (ie. car troubles, dangerous or inclement weather, health/safety emergency)
recording and livestreaming of service provision
i do not consent to being recorded or livestreamed under any circumstances unless previously discussed, and agreed upon in writing.
if i consent to being recorded or livestreamed:
you, the tech team, and i will arrive 15-30 minutes early to perform a tech check (and confirm audio and visuals are clear). this additional time would be added onto the invoice.
the tech team will ensure that i have a dedicated camera, adequate lighting, am not backlit, and that the frame includes my face, hands, and torso.
any recorded interpretations can only be shared with registered event participants for 2 weeks following the event.
any recorded interpretations shared publicly and/or in perpetuity will incur an additional cost.
additional conditions for online service provision
you will use Zoom as the online meeting platform unless otherwise specified by the Deaf individual(s).
if another online platform must be used, you and i will arrive 15 minutes early to perform a tech check (and confirm audio and visuals are clear). this additional time would be added onto the invoice.
any other interpreters and i will be made co-hosts of the meeting.
we will primarily use our co-hosting abilities to ensure that we and the Deaf participants are visible to each other.
we may also use co-hosting abilities to mute background noise if it interferes with our ability to interpret.
you will confirm any additional preferences (ie. using hand raising or not; spotlighting or not; cameras on or off) with the deaf individual(s) in the meeting and follow their preferences.
remuneration and payment
i will send an invoice through the Square invoicing platform after service provision.
you are responsible for checking your spam and/or ‘other’ folder in the event that your email service limits emails from outside companies
payment is due 30 days after the invoice is sent
you will receive 2 reminders through the square invoicing platform before payment is due
i will apply a late fee of $75 on late invoices per week late (or part thereof)
i accept cheque, e-transfer, credit card, or direct deposit.
cheques can be made payable to ‘Timothy keslick’ or ‘tk interpreting services’ and mailed to 39 homewood avenue - upper unit, toronto, on m4y2k1
e-transfers can be emailed to tkinterpretingservices@gmail.com
credit card payments can be made through the square invoicing platform through your invoice
direct deposits can be made using the information listed on your invoice or below
fees for service
my standard hourly rate is $75 per hour (or part thereof) plus hst
if an assignment is less than 2 billable hours, a $75 booking fee will also be applied (in keeping with the industry standard of two-hour minimum billing)
for arts/theatre, multi-day, or all-day meetings/events, fees are set on a case by case basis
fees will be discussed in the required consultation meeting
in-person assignments are subject to a travel/mileage fee at $0.61 per kilometre
parking is reimbursed at cost
in instances where i am coordinating an interpreting team or the content requires extensive preparation, an additional fee may be added onto the invoice
fees are typically an additional hour of work per interpreter booked
